Volunteer and Outreach Coordinator (Full-Time)

FLSA Status: Non-Exempt

SUMMARY:
The Morris Animal Refuge is looking for a passionate, organized, and creative people person to join our team as a Volunteer and Outreach Coordinator. This position is responsible for volunteer onboarding, scheduling, and engagement, as well as offsite adoption volunteer coordination and public-facing functions of the Lifesaving Department. The ideal candidate is committed to furthering the MAR mission of education and animal welfare.

PRINCIPAL DUTIES:

Volunteer Coordinator

  • Recruit, train, schedule, and supervise volunteers
  • Communicate with other MAR departments to identify opportunities and needs for volunteers
  • Maintain volunteer engagement and retention by keeping volunteers informed about organizational changes and coordinating volunteer recognition and appreciation activities
  • Maintain files, records, applications, and other data concerning volunteer programming
  • Maintain relationships with external partnerships (PetSmart Charities), including working with the Director of Marketing & Development to support annual reporting activities.
  • Prepare, disseminate, and enforce volunteer code of conduct, safety guidelines, and operating procedures to uphold the organization’s values
  • Resolve volunteer concerns and communicate training issues or violations of protocol, or escalate them to the appropriate manager

Offsite Programs Coordination

  • Regularly transport animals to and from offsite adoption center(s) to maintain consistent population, ensuring that animal locations are properly recorded and appropriate records accompany any offsite animals
  • Conduct regular volunteer training at offsite adoption center(s) including cleaning and feeding animals, conducting adoption meet-and-greets, and processing adoptions
  • Maintain open lines of communication with offsite adoption center management and staff
  • Report any animal health or behavior concerns to shelter management team
  • Ensure offsite adoption center(s) is fully stocked and supplies are properly stored, coordinating closely with Offsite Adoption Coordinator
  • Support additional outreach, offsite adoption events, and educational, offsite speaking engagement as needed

Customer Service and Online Communications

  • Ensure a culture of high quality customer service for both internal and external customers
  • Nurture external relationships to foster community in the volunteer community and corporate partners
  • Treat all animals (including humans!) with kindness, compassion, and empathy at all times

Qualifications & Experience:

  • High School diploma or GED required; some college, trade, vocational school, or further education preferred. (In lieu of educational credentials, applicants with equivalent work experience will be considered)
  • Must be proficient in using a computer. (Knowledge of Gmail, Google Drive, Shelterluv Animal Management Software, and Microsoft Office Suite Programs is a plus.)
  • Valid driver’s license and ability to drive a van
  • Previous experience coordinating and developing volunteer programs is required
  • Prior experience working in shelters or with animals is a plus but not required; Training on animal care and behavior can be provided
  • Prior experience with graphic design and/or photography is a plus but not required

Qualities of the Ideal Candidate:

  • Able to creatively solve problems and work cooperatively with team members.
  • Excellent written and verbal communication skills, as well as public speaking skills.
  • Flexible schedule with weekend and evening availability as volunteer training and outreach opportunities may vary from week to week
  • Self-motivated and passionate about animal welfare.
  • Detail-oriented and able to work on multiple tasks simultaneously.

Immediate Supervisor: Director of Operations

Hours FLSA Status: Non-Exempt Position

Compensation & Benefits

  • Full-time position requires a minimum of seven and a half (7.5) hours per day, thirty-seven and a half (37.5) hours per week.
  • Part-time position hours are dictated by the needs of the organization
  • Daily hours and days of the week (for both full and part-time positions) may vary according to the needs of the department schedule, including days, nights, weekends, holidays, and on-call work.
  •  This position has historically operated from Tuesday-Saturday to accommodate weekend volunteer events. One weekend day is required as part of the regular schedule. 

Introductory Assessment Period

The introductory assessment period runs from the date of hire for three months thereafter. For employment in any position with Morris Animal Refuge, this introductory assessment period is the period during which the specifics of the job are learned. During this period, either the employee or Morris Animal Refuge may end the employment relationship without notice or prejudice.
